TERMS AND CONDITIONS – EXECUTIVE HOSPITALITY ROUNDTABLES™

These Terms and Conditions apply to all Executive Hospitality RoundTables™ organised by Hospitality Leaders Club™, operated by Between Forks e.U. By purchasing a seat, you confirm that you have read, understood and agree to the terms below.


1. Nature of the Event

The Executive Hospitality RoundTables™ are intimate leadership dinners designed for senior hospitality professionals.
Each session includes a facilitated leadership conversation, a preselected dinner menu and curated materials.
Seats are strictly limited.


2. What Is Included

Each paid seat includes:

• Participation in the RoundTable™
• A preselected dinner menu
• Curated leadership materials

Drinks are not included.

Additional beverages may be purchased directly at the venue.


3. Dietary Requirements

Participants must inform the organiser of:

• Allergies
• Dietary restrictions
• Religious dietary considerations

at least 72 hours before the event.

If dietary information is not provided on time, suitable alternatives cannot be guaranteed.


4. Eligibility and Capacity

Participation is strictly personal.
Seats are limited and allocated on a first-come, first-served basis.

Hospitality Leaders Club™ reserves the right to refuse entry or participation where necessary to maintain safety, integrity or the intended atmosphere of the event.


5. Prices and Payment

All prices are in Euros (€), inclusive of the services described.
Payments are processed securely via Stripe.
A seat is only confirmed after full payment and receipt of an email confirmation.


6. Individual Seats

An Individual Seat:

• Applies to one named person
• May not be shared
• May not be split between multiple attendees
• May not be transferred except as outlined in Section 8


7. Annual Pass (Four RoundTables™)

The Annual Pass grants access to the four Executive Hospitality RoundTables™ scheduled within the current calendar year and is valid for one named individual only.

The Annual Pass:

• Cannot be shared, divided or transferred to another person
• Cannot be used across multiple years
• Must be used exclusively within the calendar year of purchase
• Covers the four RoundTables™ planned for that specific year

If the Annual Pass is purchased after one or more RoundTables™ have already taken place, the participant may attend the remaining RoundTables™ of the current year. No extensions, credits or carryovers will be offered under any circumstances.


8. Transfers

If a participant cannot attend a scheduled RoundTable™:

• The seat may be transferred to a colleague from the same organisation
• Notice must be given at least 72 hours before the event
• The transfer must be requested by email to hello@hospitality-leaders-club.com
• Transfers apply only to individual sessions, not to Annual Pass ownership

No-shows are not eligible for transfer or compensation.


9. No-Show Policy

A no-show occurs when a participant:

• Does not attend the event
• Arrives more than 30 minutes late without prior notice
• Leaves the event before the main session is complete without valid justification

No-shows are counted as “used seats” and are not eligible for refunds, credits or transfers.


10. Punctuality Requirement

RoundTables™ begin at the announced time.
To preserve the flow and respect other participants:

• Please arrive on time
• Late arrivals may be asked to wait for a suitable moment to join
• Late arrivals are not compensated or credited


11. Behaviour and Conduct

To protect the safety, quality and integrity of the experience, all participants agree to:

• Speak respectfully
• Allow others to contribute without interruption
• Maintain confidentiality
• Avoid aggressive, discriminatory or inappropriate behaviour
• Refrain from dominating the conversation
• Follow the facilitator’s guidance
• Maintain professional standards of conduct

Hospitality Leaders Club™ reserves the right to remove any participant whose behaviour disrupts the group or violates these principles.
No refunds or credits will be provided in such cases.


12. Confidentiality

All discussions during the RoundTables™ are confidential.
Participants may not record, share or disclose the content of the conversation, including comments made by others.


13. Event Changes by the Organiser

Hospitality Leaders Club™ may:

• Change the venue within the same city
• Change the facilitator or guest expert
• Adjust the menu
• Reschedule the event date

If rescheduled, your seat will be automatically moved to the new date if the change is minor and remains within a similar timeframe.

If the new date represents a significant change, such as a shift to a different month or a major scheduling alteration, participants may choose between:

• Joining another Executive Hospitality RoundTable™ within the same calendar year
• Requesting a full refund

If the event is fully cancelled and not rescheduled, participants will receive either a full refund or a credit for another RoundTable™ within the same calendar year.


14. Event Cancellation by the Organiser

In the unlikely event that a RoundTable™ is fully cancelled and not rescheduled:

• Participants will receive a credit for a future RoundTable™ within the same calendar year
• No monetary refunds will be issued


15. Corporate Purchases and Gifted Seats

Companies may purchase:

• Single seats
• Annual Passes
• Gifted seats
• Gifted Annual Passes

Each seat must be assigned to a named participant before the event.
Unused or unassigned seats will not be refunded or credited.


16. Limitations of Liability

Between Forks e.U. and Hospitality Leaders Club™ are not liable for:

• Loss of personal belongings
• Travel issues or delays
• Illness, including food-related issues if restrictions were not communicated
• Business or personal decisions made based on RoundTable™ discussions
• Dissatisfaction with menu, venue, group dynamics or conversation style

Liability is limited strictly to the value of the purchased seat.


17. Protection Against Unreasonable Claims

By attending, participants acknowledge that:

• Opinions shared are personal, not professional advice
• Results or outcomes cannot be guaranteed
• Preference for menu items, seating, conversation style or group composition is not grounds for complaints, refunds or compensation
• Subjective dissatisfaction (such as “I did not like the topic,” “I disagreed with someone,” or “I expected something different”) does not constitute a valid claim

No financial or legal claims may be made on these grounds.


18. Photography and Media

Photography may be taken during the event for promotional purposes.

If you do not wish to appear in photos, please inform the organiser upon arrival.


19. Governing Law

These Terms and Conditions are governed exclusively by Austrian law.
Any disputes shall be handled by the competent courts in Vienna, Austria.


20. No Sales, No Pitching, No Lead Generation

The Executive Hospitality RoundTables™ are strictly non-commercial spaces designed for meaningful leadership conversations.
Participants may share who they are and what they do as part of natural introductions, but the event may not be used for any form of sales activity.

Participants may:

• Introduce themselves professionally
• Share what they do in natural conversation
• Mention their role or company

Participants may not:

• Sell or promote products or services
• Pitch business offers
• Collect leads or contact details
• Add participants to mailing lists without explicit consent
• Distribute brochures, catalogues or promotional materials
• Offer discounts, packages or free trials
• Arrange sales meetings during or immediately after the event
• Use conversations to drive commercial interests
• Recruit or attempt to recruit participants for other communities
• Engage in any behaviour perceived as commercial solicitation

Any form of sales attempt, whether direct or indirect, is strictly prohibited.

Violating this rule may result in:

• Immediate removal from the event
• Exclusion from future events
• Termination of membership
• No refund or compensation

These spaces exist to foster genuine leadership connection, not commercial activity.
