TERMS AND CONDITIONS – HLC NETWORKING & COMMUNITY EVENTS™

These Terms and Conditions apply to all Networking & Community Events organised by Hospitality Leaders Club™, operated by Between Forks e.U., Vienna, Austria.

By registering for or attending any event, you confirm that you have read, understood and agree to the terms below.


1. Nature of the Events

Hospitality Leaders Club™ Networking & Community Events are informal professional gatherings designed to:

• Connect hospitality leaders
• Strengthen relationships
• Encourage meaningful conversations
• Foster a respectful and inspiring environment

These events are not:

• Training sessions
• Coaching
• Therapy
• Sales opportunities
• Business consulting
• Spaces for confidential disclosures

They are informal, social and professional in nature.


2. Event Access

Depending on the event, access may require:

• A paid ticket
• A complimentary registration
• A member-only invitation
• Prior booking due to limited capacity

Entry is guaranteed only upon receiving a confirmation email.

Hospitality Leaders Club™ reserves the right to:

• Adjust capacity
• Prioritise Hospitality Leaders Club™ members
• Refuse entry if necessary for safety or integrity
• Cancel or modify registrations in case of overbooking


3. What Is Included

Unless otherwise stated on the event page, a ticket grants access to:

• The event venue
• The networking experience
• Any informal programme taking place

Unless explicitly noted:

• Food is not included
• Drinks are not included
• Giveaways or materials are not included

Any additional items may be purchased directly at the venue.


4. Booking and Payment

Payments (when applicable):

• Are processed securely via Stripe or Eventbrite
• Must be completed at the time of booking
• Are confirmed via email

Registrations are valid only after full payment is received.


5. Cancellations, Refunds and Rescheduling

5.1 Refund Policy

To ensure clarity and fairness:

• Tickets are non-refundable
• No refunds for personal schedule changes
• No refunds for illness, travel delays or unforeseen circumstances
• No refunds for no-shows
• Eventbrite tickets follow these same conditions

5.2 Event Rescheduling

The organiser may:

• Change the date
• Change the venue within the same city
• Adjust the programme or timing

If rescheduled:

• Tickets automatically transfer to the new date
• Refunds are only offered if the new date represents a significant change (e.g. a different month)

5.3 Event Cancellation

If the event is completely cancelled:

• Participants may choose between
— a full refund
— or a credit for a future event


6. No-Show Policy

A no-show occurs when a participant:

• Fails to attend the event
• Arrives more than 45 minutes late
• Leaves before the main part of the programme without reasonable cause

No-shows receive no refund, credit or compensation.


7. Punctuality

Events begin at the stated time.
To respect other participants:

• Please arrive punctually
• Late arrivals disrupt the dynamic
• Participants arriving very late may be asked to wait for a suitable moment to enter


8. Behaviour and Community Conduct

All attendees agree to:

• Treat everyone with respect
• Maintain professional behaviour
• Avoid discrimination, harassment or inappropriate conduct
• Honour boundaries
• Speak kindly and responsibly
• Act with integrity within the community

The organiser may remove anyone whose behaviour affects safety, comfort or the professional environment.

Removal does not entitle the participant to a refund.


9. Confidentiality of Conversations

Although these events are not confidential spaces like RoundTables™ or Mastermind™, participants are expected to respect:

• Personal stories shared informally
• Sensitive business comments
• Private conversations

Sharing another attendee’s personal or professional information publicly is strongly discouraged.


10. No Sales, No Pitching and No Lead Generation

Hospitality Leaders Club™ Networking Events are strictly non-commercial spaces.

Participants may introduce themselves professionally, but must not:

• Sell or promote products or services
• Pitch offers
• Collect leads or email addresses for commercial use
• Add attendees to mailing lists without consent
• Distribute brochures or promotional material
• Arrange sales meetings during or immediately after the event
• Recruit attendees into other communities or programmes
• Engage in any behaviour perceived as commercial solicitation

Any breach may result in removal from the event and exclusion from future events, without refund.


11. Photography, Video and Image Rights

Hospitality Leaders Club™ may take:

• Photos
• Short videos
• Images for social media or future event promotion

By attending, you agree that your image may appear in such materials.

If you prefer not to appear in photos, please inform the organiser upon arrival.

Attendees may not:

• Photograph individuals without consent
• Record conversations
• Film other participants without permission


12. Alcohol Policy

If alcohol is served:

• Participants must consume responsibly
• Over-intoxicated attendees may be asked to leave
• The organiser accepts no liability for alcohol-related incidents


13. External Groups (WhatsApp, Telegram, Slack, etc.)

Participants may independently create external groups.
Hospitality Leaders Club™ and Between Forks e.U.:

• Are not responsible for these groups
• Do not monitor or moderate them
• Do not provide support for them
• Accept no liability for their content

Only official channels created by Hospitality Leaders Club™ fall under the organiser’s responsibility.


14. Data Protection (GDPR)

The organiser manages personal data according to Austrian and EU GDPR law.

We will:

• Store data securely
• Never sell or share data with third parties
• Use data only for event coordination
• Retain it only for legally required periods

Attendees may request:

• Access
• Correction
• Deletion (where legally appropriate)


15. Venue Rules and Safety

Participants must follow:

• Venue policies
• Staff instructions
• Safety guidelines

Failure to comply may result in removal without refund.


16. Liability

The organiser is not liable for:

• Lost or stolen items
• Injuries or accidents at the venue
• Travel disruptions
• Emotional discomfort from conversations
• Decisions based on discussions
• Technical issues

Participants attend at their own risk.


17. Harassment-Free Policy

Hospitality Leaders Club™ maintains a zero-tolerance policy for:

• Harassment
• Bullying
• Discrimination
• Racism
• Sexism
• Aggressive behaviour

Violations may lead to immediate removal and prohibition from future events.


18. Changes to These Terms

The organiser may update these Terms and Conditions at any time.
Continued participation implies acceptance of the updated terms.


19. Governing Law

These Terms and Conditions are governed by Austrian law.
Any disputes fall under the jurisdiction of the courts of Vienna.
